Notice Of Motion - Uniform Policy

A Notice of Motion has been moved by the Committee to change the Uniform Hire Policy and will be voted on at the AGM. Please consider the following carefully.

According to the Manufacturer, the uniforms have a "lifespan" of approx. 4 years if laundered correctly. In order to have funds available to purchase replacement uniforms and purchase training/playing equipment in the coming years, the committee would like to reconsider our Uniform Hire Policy.

Our Uniform Hire policy currently states:
 
"I agree to pay a $50 per player fee for uniform hire. Return of fee is dependent upon condition of the uniform on return. Hire fee will be forfeited if the uniform is lost, damaged or decreed unwearable. (Uniform must be hand washed and dried in the shade; never dried in a clothes dryer). Uniforms may be swapped, providing all above conditions have been met. Redemption of hire fee must be in writing stating the name of the player/s, the payee and the address to which the cheque is to be sent".
 
The Committee would like to reconsider the above statement and amend to read:
 
"I agree to pay a $50 per player fee every 3 years for uniform hire. At the beginning of each 3 year term, a $50 uniform fee must be paid prior to season commencement.  Uniforms may be swapped for different sizes if required within the 3 year period, providing all care conditions have been met. If a member resigns from the club at any time, a refund of $20 will be given providing the uniform is returned in good condition. Uniforms must be hand washed and dried in the shade; never dried in a clothes dryer. "
 
By changing the policy to the above, the club will have enough funds to pay for replacement uniforms, purchase balls, bibs, cones, team bags, etc, in coming years.

The major issue faced by every sporting club is fundraising.  Our plan was to create funds for future uniform purchases via fundraising however, this year proved less than rewarding and so, a more equitable form of contribution must be found to continue forward planning for club growth.  Fundraising should be a shared responsibility, not the responsibility of a few volunteers, and certainly not an additional responsibility of your Committee and/or their family members.

There are a couple of options available to us:

  • change the uniform policy to the above suggestion to ensure a continued supply of uniforms and equipment as the club continues to grow (we had a 100% growth this year),
  • add a $20 per player "fundraising levy" per year commencing 2011, or
  •  allocate time periods to any/all fundraising events (ie 12's man BBQ from 10am-12pm,  13's man from 12pm -2pm, etc) and not worry if it clashes with any other event (eg Cure our Kids) or the impact to individual families and fine those teams that don't participate (this is an option that we don't even wish to consider).
  •  Reintroduce the chocolate fundraiser for every child (not family).

    
Questions you may wish to consider when making your decision include:
 
If I vote YES to change the policy, I understand that less fundraising may need to be done to raise money to cover the expense of replacement uniforms in the future? Do I realise that I am then only paying $16.66 per year for a uniform for a sports activity?
 
If I vote NO to change the policy, do I understand that more fundraising will have to be done (by every member) to raise money and/or a yearly fundraising levy will have to be introduced to cover the expense of replacement uniforms in the future? 

We don't want to tie up the evening on this Motion but we need a long term perspective.  If you have a better option, please email secretary@carlingfordcomets.com.au for consideration before Wednesday 15th September.
